The money talk comes first
Friends earn different amounts, and the one with the least should not find that out at the table of a restaurant someone else picked. Before booking, settle three numbers as a group: the nightly amount per person for lodging, a rough daily figure for food and activities, and how many expensive splurges the trip includes. Collect everyone's share before one person commits a card to anything non-refundable. A promise to pay later is how one friend ends up financing the holiday and resenting it.
Tracking shared costs
Use an expense-splitting app or a shared spreadsheet from the first day, log each group cost when it happens, and settle once at the end with a single transfer per person. The older alternative is a kitty, where everyone puts in the same amount of cash for taxis, groceries and rounds, and tops it up together when it runs dry. Decide in advance how to treat uneven consumption. A non-drinker should not subsidize the wine, so split the food evenly and the drinks by who drank them. The best bedroom in a rental gets rotated, drawn by lot or priced higher.
Plans and pace
- Ask each person to name the one thing they would be sorry to miss, and put those on the calendar first.
- Fix one plan per day and leave the rest loose.
- Divide the work, with one person booking lodging, one handling transport and one choosing restaurants, because a lone planner resents the passengers long before saying so.
- Set a departure time each morning rather than leaving when everyone is ready, since a group of more than four moves at the speed of its slowest shower.
- Let the early risers take their walk and meet the sleepers at eleven.
Splitting up is fine
Half a day apart is not a failure of friendship. The museum people and the beach people both have a better afternoon, and dinner is livelier when everyone has something to report. Most friction on a trip comes from hunger, heat, tiredness or being lost, so treat the physical cause before discussing anything. Raise a small irritation early, lightly and in private, before it becomes a speech on the last night. If a couple in the group argues, stay out of it.
